Text back every call you miss, and follow up every lead

When you cannot pick up, the caller gets a text right away asking what they need. New enquiries get a short follow-up that stops the moment they reply.

If this is your week

  • Calls land while your hands are busy

You are on a ladder, in a client meeting, or driving. A caller who gets voicemail on a job they need done soon may move on to the next business.

  • Form leads sit until the evening

Someone sends a request through your website at 10 a.m. You reply at 8 p.m. By then they may have booked someone else.

  • Follow-up depends on memory

You sent a quote on Monday. Nothing went out on Thursday because the week got busy. The lead did not say no. Nobody asked again.

What it does

A missed call triggers a short text from your business number. If the person replies, the reply lands where you will see it, with the caller's number and what they said. If they do not reply, nothing keeps nagging them.

New leads from your form or your calls go into one list with a source label, so you can see who needs a response. Follow-ups go out on a schedule you set, and every one stops when the person replies, books or texts STOP.

How I build it

Estimated timeline Timeline quoted with the scope

Phone setup and texting-number registration vary by business, so I give you a timeline in the written quote, not a date in advance.

  1. Step 1: Check your phone setup

Missed-call detection depends on how your calls are answered. Some business phone systems and GoHighLevel numbers can trigger on a missed call directly. A plain mobile number may need conditional call forwarding to a number that can. I check yours before I quote.

    Before I quote

  2. Step 2: Set up a business texting number and register it

US carriers require businesses to register before they text from a regular 10-digit number (this is called A2P 10DLC). The registration describes who you are and how people opt in and out. I walk you through it and write the opt-out language, and the messaging platform bills any fees to you.

    Once the quote is agreed

  3. Step 3: Write the first text with you

One short message in your voice. It says who you are, that you missed them, and asks what they need. You approve it before it can go to anyone.

    You approve it first

  4. Step 4: Decide what happens on a reply

A reply goes straight to you as a notification and sits in one inbox. If you want, an AI step asks two or three plain questions first, such as the address, the kind of job and how urgent it is. Anything unusual stops and waits for you.

    During the build

  5. Step 5: Add the follow-up sequence

For leads who have not answered, I set up a few short messages by text or email over about a week. Each one stops when they reply, book or opt out. Existing customers, staff and numbers you list are skipped.

    During the build

  6. Step 6: Test it with real calls, then hand it over

I call the number, submit the form and reply to the texts to check every path, including STOP. Then I show you where to read conversations and what to do when one needs you.

    Before hand-over

What is in the build

  • Texting number and carrier registration

A number that can send texts, registered the way carriers require, with opt-out wording written.

  • Missed-call text

One message in your voice that goes out when a call is missed, with quiet hours you choose.

  • Reply handling

Replies reach you with the caller's number and message. Optional AI questions collect the basics first.

  • Lead list with source

Calls and form requests land in one place, labeled by where they came from.

  • Follow-up sequence

A few messages over about a week that stop on reply, booking or opt-out.

  • Skip rules and STOP handling

People on your skip list are never texted, and anyone who texts STOP is removed from every sequence.

What the first text can look like

This is an example of the wording, not a message from a real client. Yours is written with you.

  • Text sent after a missed call: "Hi, this is [your name] at [your business]. Sorry we missed your call. What do you need help with? Reply here and we will get back to you today. Reply STOP to opt out."
  • Customer reply: "Need a gate replaced, side of the house, sometime this month."
  • Automatic follow-up question: "Thanks. What is the address for the job?"
  • You get a notification with the number, the job and the address, and take it from there.

What this does not do

It does not answer your phone or hold a voice conversation. It does not promise a price or an appointment time on its own. It does not text people who have opted out. I do not give legal advice on texting rules, so if you are unsure about your own list, check with your attorney.

What this costs

A missed-call text-back and a lead follow-up sequence are each one workflow. I quote them together if you want both, and the exact number goes in writing before I build. Your texting platform and any carrier registration fees are billed to you directly.

Questions people ask

Does everyone who calls get the text?

Everyone except the numbers you tell me to skip, such as staff, family and suppliers. Existing customers can be skipped too if you give me the list. Quiet hours are your choice.

Do I need a new phone number?

Possibly. Missed-call detection depends on your phone system, so I check yours first. Some systems trigger it directly. A plain mobile number may need conditional forwarding to a texting number, and I will tell you before you commit.

What is carrier registration and why does it matter?

US carriers ask businesses to register a brand and a use case before sending texts from a standard 10-digit number. The registration covers who is sending and how people opt in and out. Twilio documents the same requirement. Skip it and carriers may block or filter your messages. I handle the paperwork with you.

Does AI write the replies?

The first text is fixed wording that you approve. AI is optional for the next step, asking a few plain questions and sorting the answer. Anything it cannot handle goes to you.

What happens if someone replies STOP?

They are removed from every message in the system and nothing else is sent to that number. I test this before launch.

What if someone replies at 2 a.m.?

The reply waits in your inbox and you get the notification. If you prefer, an automatic answer can tell them your hours and say you will respond in the morning.
