Stop doing the follow-up by hand
I set up the texts, emails and reminders that should go out when a customer calls, books or finishes a job, so they send themselves and nothing waits until you remember. I'm a software engineer and I work AI native.

- In business since 2020
- I respond within 24 hours
- Your accounts, your name: tool subscriptions are billed to you, never marked up
- Remote work for businesses anywhere in the U.S.
The work that slips when you are busy
The call you could not answer
You are on a roof, under a sink or with a client. The phone rings, goes to voicemail, and the caller may simply try the next business on the list.
Leads that wait for you to remember
Someone fills in your form or asks for a quote. Then the follow-up depends on you finding ten minutes that evening. Some days you do. Some days you do not.
The same message, typed again
Appointment reminders, "we received your documents", "how did we do?" Every one is a short message you already know how to write, sent by hand every time.
What changes
The routine messages go out on time, in your wording, without you. Anything that needs a human decision still comes to you, with the details attached.
AI helps where the job involves wording or sorting: drafting a reply to an unusual question, or sorting a lead by what they asked for. Where a fixed rule is enough, I use a fixed rule. It costs less and it does not make things up.
How it works
Estimated timeline Full onboarding system: usually 3–4 weeks
Single workflows have no fixed timeline. The timeline is quoted with the scope. These are estimates, not a promised date.
Step 1: Tell me what eats your week
Use the form below. Name the task you keep doing by hand and the tools you use now. I reply within 24 hours. This step costs nothing.
I reply within 24 hours
Step 2: I write the scope and the price down
You get the workflows, the tools, and the price in writing before I build anything. If you want a written plan first, the AI Workflow Audit is priced below: a working session over your real process, a written report and a priced build recommendation. It is credited in full against a build you buy within 30 days.
Timeline quoted with the scope
Step 3: I build it in your accounts and test it
Everything is set up in accounts that belong to you. You read and approve the wording before any message can reach a customer, and I test each path with real examples.
A full system usually takes 3–4 weeks in all
Step 4: Hand-over, then monitoring
I walk you through what runs and when. After that, monthly monitoring keeps it working. It is priced below.
Monitoring runs month to month
What I automate
Missed-call text-back and lead follow-up
A call you cannot take gets a text within seconds. A new lead gets a follow-up sequence that stops when they reply.
Review requests
After each finished job, every customer gets a short message with your Google review link. Nobody is skipped and nobody is rewarded.
Booking and reminders
Qualify the enquiry, offer open times from your calendar, then confirm and remind so fewer people forget the appointment.
Document collection
Ask each client for the specific documents their job needs, track what has arrived and chase what has not.
Intake to CRM
A form or call becomes a contact and a pipeline stage in your CRM, with no copying between systems.
A chat assistant for your website
Answers common questions from your own site content and captures contact details after hours. Setup from $300.
Every build includes
Whether it is one workflow or a full system, the basics are the same.
- A written scope and price before any work starts
- Setup in accounts that belong to you
- Message wording you approve before it goes live
- Testing of each path, including the replies that go wrong
- A walkthrough of what runs, when and where to look
- A way for any message that needs a person to reach you
When the data cannot leave your building
Most small-business automation runs on cloud tools, and that is fine for texts, reminders and review links. Some work is different: client files, case notes, financial records. If that data should not be sent to an outside AI service, tell me on the form. That is a separate build, with AI that runs on hardware you control, and it lives on the Private AI page.
Who this is for
Roofers and exterior contractors
You are on a roof when the phone rings, and the estimate you sent Monday is still unanswered on Thursday.
Landscapers and lawn care
Requests come in by text and web form all week, and most of your day is spent outside, away from the phone.
- Quote-request form answered with a text asking for the address and the job →
- Seasonal reminder to past customers to book spring cleanup or fall aeration
- Review request after each finished job →
Plumbers, HVAC and electricians
Urgent calls come in while you are under a sink or in an attic, and the caller usually rings the next company.
- Missed-call text that asks what is wrong and how urgent it is →
- Appointment confirmation and a reminder the day before
- Review request once the invoice is marked paid →
Restaurants, cafes and shops
Reviews and repeat customers are most of your marketing, and nobody has time to ask for them.
- Review request by text or email after a catering order or event is picked up →
- Answers to hours, menu and parking questions on your website, and contact details taken after hours
- Reservation or event enquiry logged into one list with a reply sent
Financial advisors
Every new client means the same stack of forms, and every missing one means an email from you.
- Document request listing exactly what each new client still owes you
- Intake form becomes a contact and a pipeline stage in your CRM
- Reminder before the first meeting so fewer people forget it
Accountants and bookkeepers
At tax time you spend days chasing the same missing statements and signed engagement letters.
- Checklist request to each client, with tracking of what has arrived
- Gentle reminders to clients with items still outstanding, stopping when they send them
- Status update when their return or books move to the next stage
What it costs
Prices start here and are fixed in a written quote before I build. Software you subscribe to (n8n, GoHighLevel, Chatbase, a texting number) is billed to you by the company that makes it, and I never mark it up.

Questions people ask
Do I need to be technical?
No. I do the setup and the testing. You approve the wording, I show you what runs and when, and you keep using the phone, calendar and CRM you already have.
What tools do you use?
Make, Zapier, GoHighLevel and n8n for the automation, and Claude, ChatGPT or Gemini where AI is worth using, whichever fits your tools. I would rather use what you already pay for than add another subscription.
Who owns the accounts?
You do. I build in accounts created in your name, and tool subscriptions are billed to you directly by the company that makes them, never marked up by me. If we stop working together, the automations are still yours.
What does monthly monitoring cover?
I keep an eye on your automations and fix them when something stops working, such as a lost connection, an expired login or a tool that changed. It starts from $150/mo per business and every workflow I build comes with it.
What if it breaks or says something wrong?
Breaks are what monitoring is for: I find the cause, fix it, and tell you if a customer missed a message so you can reach them. To limit wrong messages, you approve the wording before launch, and anything unusual is routed to you instead of answered automatically.
How much does it cost?
A single workflow is from $600. A full onboarding system is from $2,400. An AI chat assistant for your website is from $300. Monitoring is from $150/mo per business. Custom integrations are priced by scope. Everything is confirmed in writing before I build.
What about data that cannot leave my business?
Say so on the form. Client files, case notes and financial records should not be pasted into an outside AI service. For that work I build AI that runs on hardware you control. See the Private AI page at /private-ai/.
Do you work outside the Central Coast?
Yes. The work is done remotely, so I take on businesses anywhere in the U.S. Calls are by phone or video, and in person for clients near Hollister.
